The task behind the feature

When customer messages become everyone's problem

“I already explained this to your colleague.”

A phone full of chats does not tell you who is helping, what was promised or which customer is still waiting. Copying conversations between colleagues creates more work. A shared WhatsApp inbox gives your business a practical place to read, respond and keep context together. Start with one real customer journey and build from there.

One practical way to use it

A handover that keeps the conversation intact.

Start withOne customer enquiry across two colleagues
  1. 01

    Connect your business number

Connect an eligible WhatsApp Business Platform number through the official account setup. Keep your selected number visible while working, so each reply comes from the right business identity.

  2. 02

    Work with the customer context

Open the conversation, review the contact details and use notes or saved replies to prepare a useful answer. Send supported attachments when a picture or document explains the next step better.

  3. 03

    Keep automation under your control

Use the Bot and AI controls on a WhatsApp conversation when a person needs to take over. Check the recent exchange before resuming automation or passing work to another teammate.

Keep the next person in the picture.

Choose who owns the next response and keep the previous conversation available.

Why this is useful in practice

A shared inbox should make the next reply easier.

01

Less repetition for customers

The conversation history stays beside the work. A colleague can understand the enquiry before replying, making handovers smoother and helping your business sound consistent across different people and shifts.

02

A simpler daily workflow

Bring common actions into the same workspace instead of moving between personal phones, spreadsheets and copied messages. Saved replies help with routine questions while people handle the exceptions.

03

Room to grow your service

Begin with the team size and conversation capacity you need today. Compare the current plans for additional users, numbers and automation as your customer enquiries increase.

Choose a useful starting point

Where shared context matters

  • A retailer sharing product questions between sales staff.
  • A school organising parent enquiries during admissions.
  • A service business handling quotations and after-sales questions.

A little clarity goes a long way

A little more about team inbox.

Understand the setup, the costs and the next step before you decide.

01Does this use a personal WhatsApp Web session?

The business connection uses the official WhatsApp Business Platform. It is not a workaround that mirrors a personal WhatsApp Web session. Account eligibility and Meta messaging rules still apply.

02Can a person stop the bot in one chat?

Yes. WhatsApp conversations include separate Bot and AI controls. Your team can pause automated replies for a specific conversation while dealing with a sensitive question or an unusual request.

03Can we contact any number at any time?

No. Customer consent, Meta's messaging window and template requirements still matter. SAYLS helps organise the work; an inbox does not remove the rules governing business messaging.
