The everyday business problem

A good first impression should not depend on finding one message.

The office repeats the admissions process every day.

Admission season brings the same questions from many families, but each enquiry can be at a different stage. A parent may need a prospectus, a campus visit request or a call from the admissions team. Spreadsheets and personal chats can make that history difficult to follow. With SAYLS, keep contact information, course interest and enquiry status beside the conversation. Saved replies give staff a consistent starting point, while a short form collects what the team needs to continue. Your school still decides admission eligibility, appointment availability and official fee information; the CRM helps the conversation move.

A working day, with a clearer next step

A parent’s question, ready for the admissions team.

Start withOne admission enquiry for a campus or programme
  1. 01

Start with the enquiry, not a long form

Offer a WhatsApp entry point on the admissions website. Ask for a parent or adult applicant's contact details, programme interest and preferred campus. Only collect information needed at this stage, with appropriate permission and a clear explanation of its purpose.

  2. 02

    Organise by campus and stage

Use contact fields, tags and statuses to distinguish enquiries awaiting information, visit requests and applications being followed up. Authorised staff can review the existing conversation before replying, instead of asking the family to explain everything again.

  3. 03

Make the next step easy to understand

Create reviewed replies for prospectus links, application instructions and working hours. Use an automation flow to guide common questions, then let staff take over exceptions. Relevant template follow-ups depend on consent, template approval and the WhatsApp messaging window.

What changes for your team

A clearer first conversation with your school.

01

A more consistent admissions experience

Give staff an agreed set of practical answers so parents hear the same process and requirements. Update those answers when admissions dates or fee information change, rather than relying on old messages copied between phones.

02

Better continuity across your team

A shared inbox makes the conversation available to authorised colleagues. Contact stages help the next member of staff understand whether a family needs information, a callback or a decision from the admissions office.

03

Less repetitive work during busy periods

Automate simple directions and capture enquiries while the office is closed. Your team can spend more of its time on families who need individual help, without promising an instant admission decision or an unconfirmed place.

A little clarity goes a long way

A little more about schools & education.

Understand the setup, the costs and the next step before you decide.

01Is SAYLS a school management or learning system?

No. SAYLS organises customer conversations and enquiry workflows. Keep student records, attendance, examination results and official admissions decisions in the systems your school uses for those purposes. An integration can be assessed when a supported API is available.

02Can we message every parent automatically?

Outbound messaging must follow the family's permission and the applicable WhatsApp rules. Use approved templates where required, respect opt-outs and keep each message relevant. Importing a contact list does not itself provide permission to send marketing messages.

03Should children submit personal information through these forms?

Design the first enquiry for parents, guardians or adult applicants where appropriate. Minimise the information requested and use your institution's approved privacy process. Avoid collecting sensitive student records merely to answer a general admissions question.
