The useful short answer
Build the audience before the message. Confirm why each person should expect it, use an appropriate approved template where required, test the final content and make sure the team can handle replies and opt-outs.
A good campaign starts with an expected message, not a large spreadsheet. Your business should know why each person is in the audience and what value the message provides. SAYLS gives you contact organisation, campaign tools and template workflows, but the business remains responsible for permission, message content and applicable rules. Use this guide to prepare a controlled campaign that supports a real customer need without treating the official API as permission to send unwanted messages.
A little preparation
Before you start
Have these ready so the next steps feel simpler.

What you'll leave with
- A more deliberate audience
- A tested message with correct values
- A repeatable send-and-follow-up process
STEP 1 OF 5
Define the job of the campaign
Choose one clear purpose before writing: an order update, a relevant announcement or a promotion for people who asked to hear from you. These are not interchangeable. Decide what the recipient should understand and what action, if any, they can take. A short specific message is easier to assess than a mixture of service information and unrelated offers.
Write the audience rule in plain language. For example: customers who opted into this product's updates and still need the information. If you cannot explain why a recipient should expect the message, improve the audience before improving the design. Avoid broad lists acquired from another business.
STEP 2 OF 5
Prepare contact data and permission evidence
Use SAYLS contact organisation to separate relevant recipients with suitable statuses, tags or groups. Check phone formats and required import values against the CRM's CSV guidance. Keep the information needed for the message, but avoid importing unrelated personal data simply because it is available in an export.
Maintain evidence of how permission was obtained and what the person expected. The CRM's consent tools can support your process; they do not make an unsuitable collection method lawful. Make opt-out requests easy to recognise and honour them across future campaigns. A contact remaining in a historical record is not a reason to keep messaging them.
STEP 3 OF 5
Use the right template for the intended purpose
For messages that require a template, prepare it through the WhatsApp template workflow and wait for the status that allows use. Keep placeholders understandable and map them to the correct contact or event data. The final message should make sense for a person who sees it without the context of your internal campaign name.
Meta controls template review, categorisation and availability. Do not describe a marketing offer as an order update to obtain a different treatment. If a template is rejected, changed or paused, examine the reason before scheduling again. The relevant Meta message category and destination market also affect the cost of applicable messages.
STEP 4 OF 5
Test the finished message and destination
Use a small consenting internal audience before the customer campaign. Check the text, variable substitutions, media, links and action buttons. Open the destination on a phone as well as a desktop. A working send is not enough if the button leads to the wrong product or the personalised value is blank.
In SAYLS, confirm that the campaign uses the intended WhatsApp connection and audience. Schedule deliberately, review the selected recipients and avoid repeated launches while a previous run is still processing. If an error occurs, investigate the status before retrying the same audience. Duplicate communication can be confusing even when each individual message is valid.
STEP 5 OF 5
Follow the replies and learn before increasing volume
Have someone ready to answer campaign replies. An announcement that generates questions needs an inbox process, not just an outgoing queue. Use the observed outcomes to improve relevance, timing and customer service. Stop or adjust a campaign when feedback indicates that people did not expect it.
Keep the next campaign smaller and clearer when you are unsure. Official platform access does not guarantee unlimited delivery, permanent account access or a certain conversion rate. The sustainable advantage of a CRM is a repeatable, accountable process: appropriate contacts, suitable content, a controlled send and a team that can respond.
